Position Overview:

As a pivotal member of our team, your role will encompass a broad spectrum of responsibilities aimed at ensuring the seamless operation and efficiency of our dental practices. Key duties and expectations include:

  • Staffing and Recruitment: Conduct continuous assessments of staffing needs.

Provide robust support in effective recruitment processes.

  • Training and Development: Facilitate training and development initiatives to ensure staff proficiency in the business model, operating procedures, and protocols of supported practices.
  • Financial Management: Run end-of-month operations and manage A/R reports.

Support the achievement of performance targets and budgeted goals.

  • Administrative Functions: Manage office schedule and patient flow for efficient and timely patient care.

Organize and prioritize tasks to achieve office objectives.
Handle telephone inquiries, schedule patient appointments, and provide information as needed.
Greet and check in/out patients, collect payments, and register new patients.

  • Team Collaboration: Conduct efficient morning huddles to discuss the day's schedule, performance, patient flow, goals, and address pertinent issues.

Keep team members informed of scheduling concerns and coordinate adjustments.

  • Patient Relations: Educate patients on available payment options.

Schedule and manage patient appointments to meet production and collection goals.
Submit insurance claims as required.

  • Emergency Preparedness: Assist with dental/medical emergencies as necessary.
  • Problem Resolution and Communication: Address problems and recommend effective solutions to the work supervisor.

Demonstrate excellent interpersonal, communication, and customer service skills.

  • Facility Management: Maintain an exceptional level of cleanliness in the reception and front office area.

Plan, track, and manage minor improvement projects.

  • Compliance: Adhere to protocols and guidelines related to patient privacy (HIPAA) and team member safety (OSHA).
  • General: Meet deadlines, work well under pressure, and exhibit a high level of attention to detail. Perform other duties as assigned.

Position Requirements:

To thrive in this role, the ideal candidate should possess the following qualifications and attributes:

Professional Experience: 2-5 years of hands-on experience in the dental field. 2-5 years of proven track record in patient/customer service.

Interpersonal Skills: Outgoing and engaging personality, fostering positive relationships with both patients and team members.

Dental Knowledge: General knowledge of dental treatment options.
Familiarity with dental insurance processes.

Communication Skills: Ability to effectively "sell" dental treatment for positive case acceptance.

Financial Acumen: Knowledge of dental financing options is a plus.

Flexibility: Willingness to travel to West Chester once a month for departmental trainings.
Willingness to participate in company-wide training sessions once a month.
Openness to reading and discussing a group-issued book.

Training Commitment: Commitment to completing the initial 2 weeks to 30 days of training at our West Chester facility.

Technical Skills: Proficiency in Google Drive and spreadsheet applications.
